Bookkeeper & Office Administrator

Position Overview 

Experiences Canada is a national registered charity that helps young Canadians explore their country in ways they never may have imagined through reciprocal exchanges, forums, conferences, and other opportunities to connect with one another.  The Bookkeeper & Office Administrator’s primary role is to support the Sr. Director of Finance & Operations in bookkeeping and office administration for the organization.  This is a small organization where staff provide services to multiple departments.

Type: Full- time, 4 days per week for peak season with flexibility to move down to 3 days off peak

 

Bookkeeping Responsibilities: 

This position is responsible for the record keeping of financial transactions and the posting to the appropriate accounts. This work requires strong time management and organizational skills as well as exceptional attention to detail.

 

Main responsibilities include:

  • Accounts Receivable – enter customer invoices and payments; update details in project software
  • Banking – Conducting daily banking transactions – check bank for EFT deposits, create bank slips for cheque deposits, update deposit information by project, enter deposits
  • Accounts payable – code/enter vendor invoices and setup for payment
  • Credit cards – download credit card statements, gather all receipts, complete credit card worksheets with coding and taxes and enter in to accounting system
  • Processing expense claims
  • Inventory counts periodically
  • Confirm accuracy of transactions through account reconciliations
  • Filing invoices, claims, deposits, credit card transactions, etc.
  • Additional related duties as assigned

 

Office Administration responsibilities include:

This position entails sustaining the collegial and positive workplace environment through excellent communication, organizational skills and ability to multi-task.

Overall responsibilities include but are not limited to:

  • Answer incoming phone calls and manage other communications
  • Maintain the office phone system
  • Control the file system for finance (physical and online)
  • Greet customers and guests as required
  • Organize and maintain the common areas of the office
  • Carry out errands and general office clerk responsibilities
  • Arrange travel and related bookings such as hotel reservations
  • Assist with Annual General Meeting and quarterly Board of Directors meetings as needed
  • Provide support to staff when needed such as help to coordinate staff or guest meetings, arrange catering, setup of meeting room AV and so on.
  • Manage the storage room and track and update product inventory (swag; clothing etc.)
  • Keep an inventory of the office supplies and re-order as needed
  • Oversight for the inventory and condition of office hardware and tech equipment

  • Certificate in bookkeeping, or equivalent
  • Minimum of 5 years bookkeeping experience and office work
  • Strong knowledge of computer programs such as MS Word, Excel, QuickBooks, or other accounting software
  • Exceptional organizational, time management and interpersonal skills with the ability to multi-task and adapt to changing priorities
  • Data entry skills for volume and accuracy
  • Excellent communication skills, both written and verbal

Manager, Digital Marketing & Communications

Position Overview

The Manager (Manager), Digital Marketing and Communications is responsible for planning, executing, and reporting on a range of digital marketing and outreach campaigns that will enhance our online presence and program reach. The role also ensures Experiences Canada is well serviced regarding its communications needs. Working closely with internal leadership and our program team, you’ll report to the Director, Marketing and Communications, and use your design acumen and extensive knowledge of SEO, social media, and video marketing tactics to accelerate traffic, reach target audiences, and increase engagement. The position currently has one direct report.

Responsibilities and Duties: 

The Manager performs a wide range of duties including, but not limited to, the following:

 

Digital Media and Web Management

  • Manage editing, design, and uploads to Experiences Canada’s website, including Talent LMS.
  • Oversee regular updates, maintenance, and page creation.
  • Provide design and technical support for online webinars and troubleshoot participant issues.
  • Develop and distribute email communications and targeted email campaigns.

 

Social Media and Analytics

  • Collaborate with the Marcomm team to maintain a comprehensive social media content calendar.
  • Manage and monitor our social media accounts and lead a strategy to enhance Linkedin profile.
  • Help plan and execute integrated digital marketing campaigns and manage marketing strategy and promotions across paid, earned and owned social media.
  • Use analytics, usability standards and SEO best practices to inform decision-making, planning and execution of web and digital properties and campaigns to drive traffic to our website and increase engagement and conversion among website visitors.
  • Measure and report the performance of all digital marketing campaigns and assess against goals (ROI and KPIs).
  • Prepare regular social media and website analytic reports and produce data-based reports for senior management and the Board of Directors, as needed.

 

Content Development, Design, and Brand Management

  • Participate in planning, designing, and laying out marketing products, internal communications, and promotional materials.
  • Create social media content (shareable graphics, posts, reels) and other required digital products, using Canva, and Adobe Premiere Pro.
  • Support curation of our video content and provide editorial oversight.
  • Ensure consistent branding and style across all media and materials.
  • Support the Director in developing and curating content for a range of audiences, including blogs, media releases, and feature profiles.
  • Organize and manage communication files, photos, and video inventory.

 

Communication and Collaboration

  • Collaborate with cross-functional teams on a regular basis to plan and ensure product or campaign deliveries are on time and on budget.
  • Provide regular updates to Director and summary reports as needed for senior management and the Board of Directors.
  • Respond to general inquiries and redirect as needed.

 

Events and Campaigns

  • Support the logistic and materials preparation for Experiences Canada’s events (youth forums, PD conferences) as well as the team’s readiness for public facing outreach – such as conferences and external meetings.
  • Lead the design and launch of new programs through marketing collateral
  • Support the Director in annual digital fundraising campaigns to extend audience reach and raise revenues.
  • Collaborate with senior management to design fundraising materials such as sponsor packages, program promotional documents, pitch decks and more.

 

Required Qualifications and Experiences 

  • Significant/relevant experience in digital marketing and design field.
  • Minimum Bachelor’s degree in marketing, communications, or related field.
  • Superior grasp of digital marketing concepts, best practices, and measurement.
  • Proficiency in marketing software, including but not limited to Google Analytics4, paid search (Google Ads, Facebook Ads), HTML, SEO, social (paid and organic) and WordPress.
  • Proficiency in graphic design software and tools: Adobe Creative Pro and Canva.
  • Ability to produce multimedia content, including video production and editing.
  • Experience with content management systems such as Salesforce, analytics tools, social media platforms, marketing automation (i.e. Campaign Monitor), email marketing and collaborative project management platforms such as Asana.
  • Strong analytics background with the ability to leverage understanding of real-time data, overall brand goals and opportunities to A/B test, optimize, and make in-flight campaign decisions to improve campaign performance.

  • Proven experience in managing multiple projects simultaneously, from conception to execution, prioritizing effectively to meet deadlines.

Events & Development Specialist

Type: 18-month contract position (to Oct 2025) – possibility of moving to full-time permanent within the 18 months 

 

Overview   
Experiences Canada (EC), established in 1936, is a national registered charity that helps young Canadians explore their country in ways they never may have imagined through group exchanges, forums, conferences, and other learning opportunities to connect with one another. The Specialist works with the Senior Director, Programs and Development in the planning, design and successful delivery of events and activities that support EC’s mission including youth forums, professional development conferences and other public-facing programs or events. Fundraising to support events is a key part of this position and will involve working with the senior management team on strategies and implementing the development plans. This position works with a small team based in our Ottawa office. This is a role that requires attention to detail, a high degree of organization, an ability to work regularly in a CRM (Salesforce) and project management software, excellent communication skills, and collaboration with a wide range of stakeholders.   

 

Responsibilities and Duties 

The Specialist performs a wide range of duties including, but not limited to, the following:  

 

Coordination and Administration  

  • Assist in the planning, logistics and delivery of EC’s annual events working with a team to define workplans, locations and venues, content development or acquisition in both official languages, and experts/speakers.  
  • Work with the senior management team to establish or deliver annual and event specific fundraising targets 
  • Complete funding and grant applications to help meet these targets  
  • Conduct outreach to potential sponsors and donors including arranging and presenting in-person at pitch meetings  
  • Define which event marketing and outreach materials are needed and collaborate with the marketing, communications (MarComm) team to develop and deliver event outreach plans and produce the final event outreach / marketing materials.  
  • Assume the lead role in recruiting and managing youth leaders and ensure they have proper onboarding and training for their support roles, and supervise them in the delivery of their project such as mentoring younger participants  
  • Ensure qualified subject matter experts and/or respected organizations are secured to act as content advisors aligned to the theme(s) of an event or project. 
  • Liaise with all speakers and facilitators to ensure their roles are clearly defined, their materials are secured on time, , and they are supported as needed to meet deadlines. 
  • Support the design and distribution of event or program resources including guidebooks, learning modules and lesson plans, in both official languages. 
  • Oversee the participant selection and registration process from intake platforms (i.e. Eventbrite) and coordinate communication with selected participants. 
  • Address all project inquiries and communications from the public pertaining to this role  
  • Ensure promotional and other materials including gift bags, name tags etc. are ordered and readied in advance of an event. 
  • Assume lead role in managing the event/program budget and ensure that spending is in line with pre-defined budgets and work plans. This is supported with the Sr. Director as well as with the Director of Finance. 
  • Work closely with  MarComm to track analytics on all events and projects and integrate those analytics in any event/project KPI reporting.  
  • Be part of strategic planning to drive future, successful events and projects working closely with the team to define realistic and achievable targets. 
  • Act as the lead advisor across Experiences Canada’s program departments for identifying the best public events and conferences to advance shared or department specific priorities for staff to attend.  

 

Communications & Collaboration

  • Participate in regular cross-department meetings based on the areas of defined activity such as with Finance for budget or MarComm for promotion 
  • Collaborate on workplans that involve other staff or departments using the Asana project management tool as the main tracking tool 
  • Ensure projects or events that involve volunteers, Board members and staff have a clearly defined roles and responsibilities plan that is communicated in advance so all are clear on their respective tasks 
  • Support the recruitment and management of volunteers who help with events or projects ensuring all forms (liability waivers etc.) are completed and filed properly 

 

Evaluation and Reporting:

  • Ensure that event/project deliverables are on time, within budget and at the expected level of excellence that also meet funder(s)’s obligations  
  • Provide regular updates to your supervisor and senior management as requested 
  • Support the administration of an event/project evaluation process based on pre-defined KPIs and goals(with input from senior management and/or a consultant) 
  • Report on the progress of these KPIs at any time of an event’s or project’s lifecycle 
  • Draft interim and final event reports for funders, senior management and the Board of Directors as needed  
  • Provide recommendations for ways to improve processes or advance programming   

 

Required Qualifications and Experience
